Privacy Policy
Updated September 21, 2026
We built BTLR to help you understand and manage your home. Here's how we handle your data, plainly.
Privacy is our focus
This update names every service that touches your data, adds a schedule for how long we keep it, and spells out how to delete it.
1. What We Collect
Information you give us
- Name and email address when you sign up
- Property address
- Documents you upload: inspection reports, insurance policies, mortgage statements
- Photos of your home or issues
- Messages you type into BTLR's concierge chat
- Voice notes, when you speak to BTLR instead of typing
- Photos you take inside the app, including the Quick Home Check and repair photos
- Receipts and manuals you add to your records
Information from connected services
- Bank account data via Plaid (only if you choose to connect your bank)
- Property data from third-party sources like ATTOM
Information We Collect Automatically
- Basic usage data (such as which features you use and how often)
- Device and browser information (to ensure compatibility and performance)
- Error logs (to help us identify and fix bugs)
We do not sell your personal data.
We may use aggregated, anonymized data to improve the product and understand general home maintenance trends. This data cannot be used to identify you or your property.
We do not run ads.
Your home documents and data belong to you.
2. How We Use Your Information
We use your information to:
- Provide the BTLR service: parse your documents, score your home, route you to contractors
- Improve our document analysis and recommendations
- Send you emails you ask for (job briefs, summaries)
- Diagnose bugs and improve reliability
- Communicate with you about your account
We do not use your data for advertising or share it with data brokers.
2a. Aggregated & Anonymized Data
We may use aggregated, anonymized data derived from user activity and home information to improve our services and generate insights about home maintenance, repair trends, and system performance. This data will never include personally identifiable information and cannot be used to identify individual users or properties.
Specifically, this means:
- Aggregated data may be used internally to improve BTLR's product, algorithms, and recommendations
- Aggregated data may be used to generate insights about home maintenance and repair trends (e.g., average roof replacement costs by region)
- BTLR does not sell personally identifiable information (PII), ever
- Any data used externally is stripped of names, addresses, and all identifiable user details before use
In plain terms: we may learn from patterns across all homes on the platform. Outside the service providers listed in Section 6, we will never share anything traceable back to you or your property, and no outside company is ever allowed to train a model on your data.
3. How BTLR Reads Your Home
BTLR reads your documents, photos, voice notes, and chat messages using OpenAI's business API, a processing service that works for us under contract. This is how BTLR extracts findings, answers your questions, and prepares your reminders. This means:
- What is sent is what the task needs: the text of a document you upload, a photo you add, a voice note you record, or the context of a chat (your address, your home's findings and scores, and the conversation itself)
- OpenAI does not use anything BTLR sends to train its models, and holds it only for a limited period for abuse monitoring, not for its own use
- We never send your email, your bank login, or your payment details
- Summaries and scores are estimates, not professional advice
OpenAI API data policy: openai.com/policies
4. Bank Connection (Plaid)
If you choose to connect your bank account, we use Plaid, a secure financial data service used by thousands of apps.
- Plaid connects directly to your bank using your bank's own login flow
- We never see or store your bank username or password
- We only access read-only data: mortgage balance, payment amount, due date
- We do not initiate any transactions or move any money
- You can disconnect your bank at any time in Settings
Plaid privacy policy: plaid.com/legal/privacy-policy
5. How We Store & Protect Your Data
- Your data is stored in Supabase, a secure cloud database with encryption at rest and in transit
- Documents are stored in encrypted cloud storage
- We use HTTPS for all data in transit
- Access to your data requires authentication
- We are an early-stage startup, we take security seriously but no system is 100% immune to breaches
- Professionals on your Home Team see signals about your home, never your documents, chat, or financial details; this is enforced in the database, not just the app
6. Sharing Your Data
We share your data only with the services below, each under a contract that limits use to running BTLR, and with no one else except as the law requires.
| Service | What it receives | Why |
|---|---|---|
| Supabase | Your account, documents, photos, and records | Database and file storage, encrypted |
| Vercel | Requests to the app | Hosting |
| OpenAI | Document text, photos, voice notes, chat context (Section 3) | Reading your home; no training, limited retention |
| Stripe | Your payment details, entered directly with Stripe | Billing; BTLR never sees your card number |
| Plaid | Your bank login, entered directly with Plaid, if you connect a bank | Read-only mortgage data |
| ATTOM and public data sources | Your property address | Public records, permits, and property facts |
| Resend | Your email address and the message | Sending you the emails you asked for |
| PostHog | Anonymized interaction data, personal content masked in the browser, only if you accept cookies | Finding and fixing problems |
- If required by law or to protect the rights and safety of our users
- If BTLR is acquired or merges, your data transfers only under this same policy. We will notify you before the transfer and give you at least 30 days to delete your account first.
6a. Affiliates and Your Home Team
Agents, lenders, insurance brokers, and inspectors use BTLR too. If one of them invited you, or you added one to your Home Team, here is what they can see: your BTLR SCORE, whether you are active, and signals such as “a repair need is open” or “a rate window may be opening.” They never see your documents, your chat, your photos, your repair list, or any dollar figure. You can make any Home Team member inactive at any time in Settings, and doing so stops the signals.
If a professional invited you and staged documents before you claimed your account (for example your inspection report at closing), those documents are held for you and are not read until you claim the account. Unclaimed invitations are deleted after 90 days.
6b. If You Are an Affiliate
If you use BTLR as an agent, lender, broker, or inspector, your client list, your notes, and your account details are stored under your login. BTLR's Ask feature reads your client list at the level you already see it in your dashboard (names, addresses, BTLR SCORE, activity, and signals) to answer your questions. Your private client notes are never sent outside BTLR. Your clients' documents and finances are never visible to you and never sent on your behalf.
7. Your Rights
- Access: ask us what data we have about you
- Correction: ask us to fix inaccurate data
- Deletion: ask us to delete your account and everything in it; we purge it within 30 days
- Export: ask for a copy of your data
- Disconnect bank: remove Plaid connection at any time in Settings
To exercise any of these rights, email: hello@btlrai.com
7a. How Long We Keep Your Data
| Data | Kept while | Then |
|---|---|---|
| Your account and records | Your account is open | Purged within 30 days of deletion |
| Uploaded originals (PDFs, photos, audio) | Your account is open | Purged within 30 days of deletion |
| Chat transcripts | Your account is open | Purged within 30 days of deletion |
| Data sent to OpenAI | The request | Limited retention for abuse monitoring, then deleted (not retained at all once zero data retention is approved) |
| Unclaimed invitations | 90 days | Deleted |
| Billing records at Stripe | As tax law requires | Held by Stripe |
| Anonymized patterns | Indefinitely | Cannot identify you or your home |
8. Cookies & Tracking
We use minimal cookies, only what's needed to keep you logged in and remember your preferences. We do not use advertising trackers or third-party analytics that sell your data.
If you accept cookies, we also record anonymized interaction data on your dashboard: clicks, scrolling, page layout, and loading or error states, so we can find and fix problems you would otherwise have to report to us. Personal content is masked in the browser before anything is sent: your address, anything you type, dollar amounts, inspection findings, document names and contents, messages with BTLR, and any photo of your home or uploaded file. If you decline cookies, nothing is recorded at all.
9. Children
BTLR is not intended for users under 18. We do not knowingly collect data from minors. If you believe a minor has created an account, contact us and we will delete it.
10. Changes to This Policy
If we make significant changes, we'll notify you by email before they take effect. The date at the top always shows the most recent version.
